estate digital lockbox™

WHAT ARE THE TECHNICAL REQUIREMENTS FOR USING THIS SERVICE?

BROWSER: We currently support the Firefox and Microsoft Internet Explorer browsers. For Internet Explorer, we support versions 6.0, 7.0, and 8.0. The site should work in Google Chrome and in Apple Safari, but we have not fully tested this. You must have Javascript turned on in your browser. Normally this is not an issue.

FORMS: The best software for completing and filling forms on our site are (a) Adobe Acrobat Professional and (b) the Free Foxit Reader. Note that the Free Adobe Reader will not allow you to save data on a form. For more information click here.

FILES: If you have difficulty uploading a file, please note that:

  • Our system does not accept files with the .EXE file extension.
  • The maximum file size our system allows is 1 megabyte (MB).
  • Certain special characters (such as $ or %) within the name of a file are not allowed. Please rename your file and try again.

WHAT TYPES OF FILES CAN I UPLOAD?

Your Estate Digital Lockbox account will accept:

  • Any electronic file (PDFs, Microsoft Word, JPG photos, etc) except executable files (.exe extension). Certain special characters (such as $ or %) within the name of a file are also not allowed.
  • Any size file up to 1 megabyte (MB). You cannot store large files such as movies because, for security reasons, every file is encrypted. Large files take a long time to access because of the processing time required to decrypt these files.

HOW MANY FILES CAN I STORE?

You can upload as many files as you want, but our standard storage limit is 1GB. If you need more storage, contact support@estatedigitallockbox.com.

As a guideline, 1 gigabyte (GB) of storage is enough room for either:

  • 10,000 Microsoft Word documents, or
  • 5,000 scanned pages, or
  • 2,000 PDFs , or
  • 650 digital photos, or
  • 200 music files

To help give you some idea of how much you can store in your Estate Digital Lockbox, below are examples of everyday electronic files and their approximate size or storage capacity:

  • 5-page Microsof Word document: 100 KB
  • Low-quality digital photo: 100 to 200 KB
  • Typical PDF file: 100 to 800 KB
  • Short novel: 1 MB
  • 3.5-inch floppy disk: 1.44 MB
  • High-quality digital photo: 1.5 to 2 MB
  • 4-minute MP3: 4 MB
  • CD-ROM: 700 MB
  • DVD: 4.7 GB

HOW DO I ADD DOCUMENTS TO MY ESTATE DIGITAL LOCKBOX?

You can add files to your lockbox in two ways:

  1. Use the forms we provide.
We have created forms that you can complete and save in your Estate Digital Lockbox. These forms are designed to make it easy for you to type in important information, including things such as your insurance policy details, credit card numbers, and more. Once your forms are saved and securely stored in your lockbox, your personal information is accessible wherever you may be. This can be helpful when travelling. It also gives you a backup copy in case of theft and loss at home. We have structured the Estate Digital Lockbox with sophisticated security features that allow you to give others access to those parts of your lockbox that you'd like to share with them.
  2. Create electronic versions of your physical documents.
Documents must be in a digital format to upload to your Estate Digital Lockbox. If you only have a physical copy of a document, there are several ways to digitize it:
    • Take a digital photograph of the document and save it to your local hard drive.
    • Scan the document to your local hard drive. If you don't have access to a scanner device, many office supply retailers offer scanning services and can create an electronic copy of your physical documents for a nominal fee.

Remember: Your Estate Digital Lockbox is intended for storage of copies of important records - it is not intended as a replacement for primary storage on your own computer or paper files.

CAN I ACCESS MY ESTATE DIGITAL LOCKBOX FROM ANY INTERNET CONNECTION?

Yes. However, if you access your account from a public or shared computer, files you open, view, or download may - depending on the browser - automatically be copied to the computer's desktop or to an easily accessible download folder. Additionally, the file may remain among difficult-to-find cached files or temp folders. If you're in a non-secure location, be sure to delete the file after viewing, empty the Trash, and clear your cache.

Also, make sure to "close" your digital lockbox when you have finished with it so that no one else can access it.

IF I'M USING A SHARED OR PUBLIC COMPUTER, HOW DO I CLEAR THE CACHE?

If you are using a shared or public computer, you can clear your cache or temporary folders using Internet Explorer 7.0 on a PC by doing the following:

  • Select Tools, and select Internet Options
  • Go to the Temporary Internet Files section
  • Select Delete Files
  • Select Delete Cookies
  • In the History section, select Clear History
  • Click Close to close Delete Browsing History dialog box
  • Click OK to close Internet Options dialog box

If you are using a shared or public computer, you can clear your cache or temporary folders using Safari on a Mac by doing the following:

  • Under the Safari menu select Empty Cache...
  • Click Empty.

CAN I DISCARD ORIGINALS OF MY RECORDS AFTER I STORE COPIES IN MY ESTATE DIGITAL LOCKBOX?

No, you should never throw away the original versions of your important documents. The Estate Digital Lockbox should only be used to store copies of important records for you to use as a reference.

Electronic copies of certain signed paper documents - such as wills, deeds, trusts, stock certificates, passports, and powers of attorney - may not carry the same legal effect as signed paper originals, which is why you should always keep and protect your signed original documents. However electronic versions of some documents - such as brokerage and bank account statements - usually do have the same legal standing as their paper counterparts.

WHO HAS ACCESS TO MY ESTATE DIGITAL LOCKBOX IF I DIE?

Upon your death, any people to whom you've granted rights will continue to have the ability to access to their sections of the lockbox.

Upon death, access to your Estate Digital Lockbox will be provided to your Executor or Personal Representative under the following conditions:

  • A copy of the death certificate, obituary notice and attorney letter are provided to us. Please contact us at support@estatedigitallockbox.com.
  • The requestor signs a waiver from any claims by themselves or the estate that could arise from such a release.
